Role Dimensions:

Responsible for creation and management of Race & Test Itinerary Events.  All  booking and amendments to Flights, Hotels, Car Rental and Ground Handling at Races & Test Events.  Also for management of related budgets and forecasts.

Principal Accountabilities:

You will need to be able to:

  • Plan, book and amend the Flight, Hotel, Car Rental and Ground Handling program in relation to Races and Tests across the calendar year.
  • Manage working relationship with Travel Agent (Travel Places) to the benefit of McLaren both from a service perspective and financial gain.
  • Review options for flights, Hotels, Car Rental and Ground Handling with alternative/local options where reliability and or cost savings are possible or required.
  • Ownership of the creation and accuracy of Race and Test itineraries across the year.
  • Ownership of the creation and accuracy of the event flight request documentation.
  • Ownership of the creation and accuracy of the event Car Rental requirements for attending staff at the events across the year.
  • Budgetary management of costs associated to Race and Test spend.
  • Travel and related support for Race Drivers and immediate support team where necessary across the year.
  • Scoping of spend for each race and test based on previous years use, allowing budgetary forecasting.
  • Administrator of Technical requirements in relation to GDS (Galileo) usage.
  • Work to achieve targeted savings by race /season.
  • Work with Travel Agent to target savings associated to group fares and explore direct group savings and low cost carrier fares.
  • Post-event invoice resolution.
  • Organise; attend meetings, managing relationships with partners such as Travel Places, airlines, hotels and any supplier used.
  • Support of emergency changes to travel out of hours in conjunction to Races & Tests in conjunction with on the ground support (McLaren Logistic staff and Travel Agent)

Knowledge, Skills and Experience:

To be successful in this role you will need to demonstrate you have good experience of working with some or all of: - flights, Hotels, Car Rental and related suppliers.  Accurate creation and maintenance of itineraries for multiple events, displaying attention to detail and accuracy in many areas at the same time.
