Purpose of the Role

The Human Resources Assistant plays a vital role in providing a comprehensive and flawless HR advice and administrative service to McLaren Applied, responding to HR queries, and assisting in the implementation of HR policy in relation to employee resourcing, starters, leavers, development and reward activities.

Role Dimensions

Reporting into the HR Business Partner and working in conjunction with the HR team including Recruitment, this role provides support to c. 300 Applied colleagues.

Principal Accountabilities

  • Act as the first point of contact for all HR queries for Applied, resolving issues or escalating to the appropriate team member.
  • Provide initial advice to managers and employees and support employee relations queries/on-going case management relating to absence, performance, grievance and disciplinary, leading on day to day enquiries/cases and escalating where required.
  • Provide a right first time, flawless administration service, providing recommendations on continuous improvements.
  • Ownership of the HR operational calendar.
  • Prepare employee contracts and offer letters (via DocuSign), reference requests, contractual change letters, maternity/paternity letters, flexible working letters and leaver documentation.
  • Lead the process of monthly payroll – ensuring all relevant elements such as absence, starters/leavers, pension and salary adjustments are processed as appropriate, considering any related processes that may need to be actioned and resolving any payroll related queries.
  • Act as HRIS ‘expert’ for Applied, first point of contact for all HRIS queries, responsible for ensuring data is updated and maintained and all employees are set-up correctly in the system.  Run reports as and when required and highlight and resolve any anomalies in the data.
  • Administer HR reporting in relation to Applied.
  • Conduct and coordinate new starter onboarding, to include right to work checks prior to joining, inductions and probation process.
  • Coordinate probation period review reminders in line managers’ diaries as appropriate and provide the relevant forms for completion. 
  • Manage the process for work experience and student placements, i.e. organising departments, agenda, paperwork and access.
  • Manage the leaver process, in addition to tracking all fixed term and contractor end dates and notifying managers as appropriate.
  • Administer the Private Healthcare scheme and Personal Travel Insurance policies for Applied.
  • Support with long service, annual salary and bonus review processes.
  • Monitor visa sponsorship and immigration reviews, implementing changes where required.
  • Keep all electronic personnel files up to date.

Knowledge, Skills and Experience

  • Experience within a fast paced and busy HR function.
  • Strong communication skills - both written and verbal.
  • Comfortable liaising with stakeholders at all levels of the business and across the McLaren group.
  • Excellent organisational skills – with the ability to proactively prioritise, multi-task and manage own workload daily.
  • MS Office 365 - strong Excel skills, including data manipulation.  Intermediate Word, PowerPoint and Teams.
  • Demonstrable HRIS experience.
  • Working knowledge of HR practices and processes in relation to the employee lifecycle and employee relations, as well as an understanding of relevant employment law.
  • Experience of working in an engineering environment is desirable but not essential.
  • Previous experience of Recruitment /Applicant Tracking Systems or databases is desirable.
