The primary role of the Executive Assistant is to ensure that the McLaren Technology Group’s Chief Marketing Officer’s working life runs as smoothly and efficiently as possible, enabling him to focus on his responsibilities in the knowledge that all logistics and arrangements have been taken care of in line with Company policy and practices.

Principal Accountabilities:

  • Provide full administrative / coordination support for the Chief Marketing Officer including extensive electronic diary management, coordinating arrangements for meetings and assisting on-going projects where applicable.
  • Working alongside the in-house travel department, to manage travel logistics, including flights, car transfers and chauffeur bookings.

  • Opening, acknowledging and co-ordinating responses to post and e-mail enquiries.
  • Provide an effective professional response to all visitors and enquiries by phone and face-to-face.
  • Assisting with the set-up of meetings including booking meeting rooms, catering, AV and confirming details with attendees in a timely manner.
  • Creation of presentations and reports and uploading them onto company systems, printing and distributing them.
  • Attend meetings as required; take minutes and follow up on actions.
  • Responsible for arranging and running any events for the brand team at the CMO’s discretion (e.g ‘away days’).
  • Follow administrative systems/processes to support the operation of the wider McLaren Marketing business e.g creating and processing purchase orders, detailed, accurate and timely management of business expense and credit card reconciliation.
  • Support the wider McLaren Marketing team when required, on larger events such as F1 car launches and staff events.
  • Responsible for managing confidential and sensitive information.

Knowledge, skills and experience:

  • Previous experience of delivering a proactive approach to supporting a senior executive in a high performance, dynamic organisation, preferably a Marketing/Sports Agency environment or similar.
  • Able to use a variety of IT packages (e.g. Office 2013 - Word, Excel, PowerPoint, Office 365 and Outlook) at intermediate /advanced standard.
  • Experience of working within an administrative role with robust administrative skills and the ability to draft documents without guidance.
  • Strong communication skills and confident in dealing with employees and visitors at all levels.
  • Ability to multi-task in a fast-paced environment, while managing conflicting priorities.

  • Possess excellent organisational and communication skills, be comfortable making decisions, being proactive and working on your own initiative and be effective when under pressure.
  • Methodical, organised and systematic with a high attention to detail.
  • To maintain confidentiality and be discreet when required.
  • As an ambassador for the Company, and gatekeeper to the Chief Marketing Officer, you will understand the relative importance of his day to day business needs, building relationships with key people both internally and externally.
  • You will need to be flexible in terms of working hours and dealing with unscheduled requests.
