Executive Assistant

The role is based at McLaren Automotive Inc. in Coppell, Dallas, Texas.  The role provides executive support and combines support as the main office liaison.  Role could require working after hours and some weekends. 

 

Principal accountabilities:

  • Managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the Director’s schedule is followed and respected.
  • Works closely and effectively with the Director to keep him/her well informed of upcoming commitments and responsibilities.
  • Chase responses to requests and emails to/from the Director
  • Communicate and handle incoming and outgoing electronic communications on behalf of the Director
  • Answer phones in a pleasant, helpful and professional manner, direct all incoming calls appropriately, accurately recording messages and reliably passing messages to recipient in a timely manner
  • Maintain employee vacation schedule/master travel schedule/office calendar
  • Assist with special projects (reports/presentations)
  • Develop and create reports and templates for the office
  • Liaison with the UK office
  • IT contact
  • Vendor Contact
  • Office card expenses
  • Maintain office supplies / organization
  • General office errands
  • Assist with travel arrangements to the office VIP’s, Dealers and UK employees

 

Knowledge, skills & experience:

  • The preferred candidate will have extensive experience supporting senior management
  • Experience with distributor / wholesale type environment, or automotive industry desired – not required.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, and Power Point).
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. 
  • Keen interest in developing and improving processes
  • The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

  • Should also be very comfortable being ‘front of house’ with high net worth customers
